SIUE Employee Important Separation of Service Information
The following comprehensive information has been developed to help guide employees who are considering separating/retiring from SIUE.
Resignation
If you have not provided a resignation letter/e-mail to your department supervisor, do so as soon as possible. This should be done at least 4-6 weeks prior to your termination date.
SURS
Additional information about your SURS contributions:
- Separation Refunds for the withdrawal of contributions
- SURS lump sum distributions and retirements cannot be completed until all payments from SIUE are made. These payments may include final payroll check, vacation/sick leave payouts, and applicable retro-active pay increases. If you retire after July 1st of any year and there is later a retroactive salary increase, you may receive a later salary increase that could affect your SURS annuity amount.
COBRA
You will receive COBRA (Consolidated Omnibus Budget Reconciliation Act) continuation coverage information from Central Management Services (CMS) within 40 days of the separation. If the information is not received within 40 days, you should contact CMS at 1-800-442-1300.
Vacation/Sick Leave Payouts
If you have a vacation and/or compensable sick leave payout, you can make deferrals up to the IRS limits for both 403b account and 457 accounts. Employees are paid for unused accrued vacation and eligible unused sick time earned from 1984-1997 (SK97) under University policy.
Contributions may be made up to the annual limits, but the limits are reduced by any contributions already deducted through payroll during the calendar year before retirement.If interested, you must have accounts set up with a 403b approved vendor and/or the CMS Deferred Compensation unit. If you are setting up a 457 account, this must be done the month prior to your termination date. Benefits staff must be informed of this change and you must prepare a new 403b Salary Reduction Agreement (SRA) and/or a 457 Deferred Compensation Change form indicating the amount you want to defer to the vacation/sick leave payout. The forms must be submitted to the Benefits Department at least 1 month before your termination date.
State of Illinois Insurance
In accordance with the State Group Insurance Act, your health, dental and life insurance benefits from SIUE will end on midnight of your termination date. If you are continuing your health and dental coverage after you retire, your plan will be through the State Universities Retirement System (SURS). For information regarding this coverage, please contact SURS at 1-800-275-7877.
Portable Insurance
The following insurances are portable upon termination:
- ING/Reliastar Supplemental Life Insurance
- Prudential Long Term Disability
- Colonial Cancer, Critical Illness and Accident Supplemental Insurance
Address Updates
Contact the Office of Human Resources if your address changes prior to the mailing of form W-2 in January. If you are a retiree, you should also keep your address current so that the University may include you at events such as the annual Retiree Reception.
University Property and P-card, and Fiscal Officer/Delegate Changes
As a reminder, if you have any university property such as the p-card or university issued i-pad or laptop, please remember to turn these into to your appropriate department contact. Please also complete any outstanding p-card transactions. If you have been a fiscal officer or delegate for AIS or a department support person for Banner Leave or Department Time Entry, please be sure your department has authorized a replacement for these.
Amounts owed to SIUE
If any payments or fines are owed to SIUE and are still outstanding at the time of termination, they will be withheld from your final paycheck.
Other Information for Retirees
Parking hang tags are available annually without charge to any retiree for campus parking privileges.
SIUE email and Cougar Net accounts remain active for retirees. If you need help with a password, please contact the Office of Information Technology website, or call 618-650-5500.
Retirees are able to borrow library materials in the Lovejoy Library and have full access to computers located in the labs. See the Lovejoy Library website for hours of operation and information on library services.
You may also purchase a membership to the Student Fitness Center and use all of the facilities including the Wellness Center, Fitness Rooms, tennis courts, and indoor track.
